Abstract
The study aims at designing electronic system for archiving official files for the administrative affairs department at the university of technology by monitoring the performance through the specifications, employing information technology in administrative work, and promoting the role of archiving in the launching of electronic government through simplifying and facilitating the processes of formal papers. The study used the descriptive approach and the empirical approach. The study community is (68) employees. It utilized instruments from various data such as interviews, observation, and ISO specifications. A number of results were reached in this study: which saves efforts and time in the processing of formal papers and documents. And the said department is ready to work with the electronic archiving systems, since the infrastructure is available in the form, capable staff that can tackle the applications of information technology. The study came up with many recommendations, the most important of which are: Moving towards building databases or adapting readymade systems and programs in the management of formal documents. The researcher has suggested a model for administrative work (A system for archiving formal documents).
